Responsibilities
GENERAL SUMMARY/ OVERVIEW STATEMENT: 

Provides all required secretarial and administrative support services to the Medical Director of the Catheterization Laboratory. Requires advanced secretarial skills, experience in word processing, patient scheduling, a high degree of organization, and the ability to prioritize assignments. Utilizes high level of judgment and discretion in dealing with confidential and sensitive matters.


PRINCIPAL DUTIES AND RESPONSIBILITIES:.

 Types all correspondence (including patient related letters and notes), manuscripts, grant applications, reviews, slides, tables, statistical tables and Human Subject Protocols, as well as other research studies. Typing is done from handwritten material as well as from Dictaphone transcription, using Microsoft Office software on the Hospital network.

 Maintains physican's calendar, scheduling executive and clinical appointments/meetings

 Makes travel arrangements

 Obtains lab results and other pertinent patient medical data from a variety of sources outside as well as inside the Hospital. Contacts referring physicians and pharmacies to transmit information provided by the physician supervisor. Assures filing in charts is up to date for each clinic visit. Provides ready access to Division files on physicians' patients as necessary in response to calls from patients and referring physicians. Triage patient calls, referring callers to PA or MD as needed. Will call normal results and instructions to patients.



 Writes letters in response to routine inquiries establishes and maintains files, researches material and answers all calls to the physicians.

 Interfaces with professional and administrative staff of several hospitals, HMS, HSPH, medical societies and private organizations. Maintains credentials of attending staff with affiliate organizations.

 Arranges reimbursement for travel, equipment and mileage

 Coordinates the itinerary of visiting MDs who wish to observe procedures in the lab, round with faculty and attend lectures

 Maintains office equipment; orders supplies; arranges service calls

 Performs other duties as assigned by the physician or the Clinical Administrator.

Responsibilities to Physician
 Assist physicians with all secretarial aspects of clinical, administrative and research work
 Assist physicians in acquiring and properly using secretarial or computer equipment and supplies
 Communicate with physicians in a professional manner
 Take complete messages and either send them to the physicians or put them in the appropriate place
 Provide ready access to Division files on physician's patients as necessary in response to calls from patients and referring physicians
 Control and adjust schedules according to physicians requests

Caring for Facility and Equipment
 Keep secretarial work areas neat
 Keep inventory of necessary supplies and equipment to ensure that these items are always available
 Keep all secretarial equipment clean and in good working order and arrange repair or replacement when needed

Interacting with Fellow Employees
 Work to establish and maintain good relationships with fellow employees
 Work cooperatively with fellow employees to solve problems and to make the facility function efficiently
 Fill in for fellow employees when asked to do so or when the need arises

Interacting with Supervisory and Administrative Staff
 Follow instructions of and assist supervisory staff as required
 Maintain good communication with and report problems to supervisors

Other
 Perform other duties and tasks as requested by supervisors to ensure the efficient overall performance of the facility, maintaining flexibility regarding the occasional need for staffing coverage in other areas of the facility
Requirements
QUALIFICATIONS: 
Four year degree preferred, but not required or three to five years of appropriate work experience.


SKILLS/ ABILITIES/ COMPETENCIES REQUIRED: 

 Thorough knowledge of Microsoft Office software is required
 Knowledge of medical terminology required
 Ability to operate all types of office equipment is required
 Ability to work independently is required
 Must be capable of establishing priorities
 Must be able to simultaneously handle a variety of tasks effectively
 Excellent interpersonal skills to communicate and interact with a socially diverse group of patients with problems that may be life threatening, coping with the anxiety and stress often created in such situation
 Communicate well with a large group of physicians working in a fast-paced and demanding environment
 Must respect the strict confidentiality of medical records and information
 Must understand the overall goals and systems of the facility

WORKING CONDITIONS: 
All activities are based in the Cardiovascular administrative offices. Interface with other departments and areas within Brigham and Women's Hospital is necessary.
