Administrative Associate III- FELLOWSHIP COORDINATOR

Under the supervision of the Division Manager, and in direct support of the Fellowship Program Director, the Administrative Associate III is responsible for providing the overall coordination, and secretarial and administrative support, essential to the smooth and efficient operation of the Division of Newborn Medicine's Harvard Neonatal-Perinatal Fellowship Training Program. He or she will perform and coordinate various administrative functions that require in-depth knowledge of Division programs and services, including (1) serve as liaison with Division faculty and staff, Children's and affiliated hospital departments, external agencies, and consultants for all aspects of the Program; (2) coordinate the Fellowship trainee recruitment process; (3) serve as primary contact and resource for Fellowship Program trainees, providing programmatic and HR guidance and support, and process all appointments and credentialing; (4) provide secretarial and administrative support for the Fellowship Program Director; and (5) perform routine administrative and general office duties.

The principal duties and responsibilities of the position include, but are not limited to, the following:

1. Serve as liaison with Division faculty and staff, Children's and affiliated hospital departments, external agencies, and consultants for all aspects of the Harvard Neonatal-Perinatal Fellowship Training Program; organize the Orientation Program for incoming Fellowship trainees.
-Plan and implement related projects, and identify, research, and advise on issues that concern relationships with external parties and other policy matters; serve as initial contact for external inquiries regarding the Fellowship Program; refer inquiries to appropriate personnel in a timely manner.
-Provide trainee data and documentation for all governmental and regulatory audits, site visits, and reaccreditations.
-Maintain files for potential, current, and past Fellowship trainees, and serve as primary contact, liaison, and resource.
-Oversee the process by which Fellowship trainees are authorized for active duty, and the processes to secure required IDs, and Medical Staff and Occupational Health appointments.
-Develop and prepare annually the Fellowship Program Orientation Manual.

2. Support the Fellowship Program Director in implementing a systematic process for the recruitment of Fellowship trainees.
-Research and routinely monitor sources of potential Fellowship trainees, including the Freidaonline.com web site; and coordinate the delivery of training program information according to established goals and timelines.
-Oversee the application process, compiling and monitoring the receipt of all documentation, and apprise the Fellowship Program Director of the application status of potential candidates.
-Arrange and coordinate interviews for applicants with Fellowship Committee Members; serve as Fellowship candidate contact and resource, devise itineraries, and respond to inquiries and requests.

A minimum of a Bachelor's degree is required, as well as experience in an administrative position, preferably in an academic or research setting. A computer savvy individual who is comfortable working with various software and online applications is required; in particular, considerable experience with all Microsoft applications (Word, Excel, Access, PowerPoint) and Adobe Acrobat is a must; Adobe Photoshop is desirable.
