Come join Children's Hospital Boston's Stem Cell Program as an Administrative Associate II!

This position will provide administrative support to one Faculty member in a busy research administrative setting. The AAII will serve as administrative liaison between the Researcher and various external and internal parties. Particular duties will include calendar and travel scheduling, meeting coordination, correspondence support, document editing, and some budget data work.

Essential Duties and Responsibilities:  

1. Maintain calendar for Faculty member. Schedule and coordinate meetings, conferences and special events for the Researcher and her lab. This includes determining which events and meetings require Researcher's presence and confirming appointments to maximize her time efficiency while allowing desk time.

2. Maintain documentation of phone communications to and on behalf of the Researcher. This includes answering the phone, screening calls, taking detailed messages and arranging call back times, responding to routine calls independently and routing calls to other lab staff as necessary.

3. Maintain documentation of written communications to and on behalf of the Researcher and her lab. This includes handling correspondence and mail and distributing mail to various parts of the laboratory as well as handling electronic communications (emails) for the Faculty member as requested.

4. Maintain above duties and serve as representative for Faculty member as requested when she is out of the office.

5. Make travel arrangements for the Faculty member including preparing an itinerary, assisting with transportation and hotel arrangements and processing expense reports and reimbursements. May also assist in these duties for visitors and other staff.

6. Answer routine inquiries without further consultation, resolve routine matters and respond to minor problems or complaints independently.

7. Perform typing assignments, compose, proofread and research and compile letters and/or special reports. Perform miscellaneous administrative duties as required.

8. May review and edit written materials such as manuscripts from draft form.

9. Assist Lab Manager with procurement of office and lab supplies.

Qualifications:  

-Applicant must be highly responsible, motivated and have a proven ability to multi-task efficiently. An ideal candidate must be highly organized, meticulous and enjoy maintaining an interactive schedule in a highly dynamic environment.

-Initiative is required in resolving problems and making routine requests on behalf of the Researcher.

-Strong Mac computer and internet research skills are required.

-Excellent interpersonal skills, project coordination experience, flexibility, and the ability to work well with all levels of staff and visitors.
