Description

GENERAL SUMMARY OF DUTIES

- The ROI Coordinator is responsible for the accurate and appropriate release of patient medical information to internal and external requestors following regulatory requirements and HIM Service Center (HSC) policies and procedures. The ROI coordinator ensures the proper documentation and tracking of all requests for patient medical information.

 

DUTIES INCLUDE BUT ARE NOT LIMITED TO:

  • Logs and Pends requests in the Horizon patient Folder (HPF) ROI queue
  • Validates requests are compliant based on Federal and State laws
  • Flags the documents to be released based on the request
  • Pends request if the authorization is incomplete or noncompliant
  • Communicates with requestors when invalid authorizations or incomplete requests are received
  • Responds to phone calls related to ROI
  • Researches and resolves complex questions relating to the release of protected health information
  • Coordinates release of information activities with vendor, when applicableAs necessary, works in collaboration with facility HIM and ancillary departments to retrieve information that may be stored within the facility (e.g. radiology films, paper records, microfilm)
  • Oversight of the HPF temporary queue assignments for external reviewers
  • Processes an average of 6 requests per hour and maintains accuracy of > 95%
  • Produces invoices for medical record copies
  • Follows established procedures for the collection and handling of remittance for medical record copies
  • Submits cash/checks to HSC Operations Manager daily
  • Assures all requests are processed within 3 business days or less
  • Keeps current with ongoing or new legislative issues related to release of information
  • Collaborates with facility Risk Management personnel on requests involving potential litigation against the facility and/or its medical staff
  • Conducts education sessions as needed
  • Forwards requests for patient information not ordinarily released by HSC staff to appropriate facility/department (e.g. inquiries regarding pathology slides are routed to the Laboratory department)
  • Monitors all ROI activities such as productivity, turnaround times, billing and collections, and pending requests and submits reports as required to the HSC Operations Manager
  • Practice and adhere to the "Code of Conduct" philosophy and "Mission and Value Statement"
  • Other duties as assigned

Qualifications

KNOWLEDGE, SKILLS & ABILITIES

  • Knowledge and understanding in application of HIPAA Privacy Law relating to release of information.
  • Knowledge and understanding in application of other Federal and State privacy laws.
  • Demonstrating a complete understanding of the release of information process, including guidelines in training manual, regulatory manuals and HSC / facility policies and procedures as they relate to patient care information and billing information.
  • Communication - communicates clearly, proactively and concisely with all key stakeholders.
  • Customer orientation - establishes and maintains long term customer relationships, building trust and respect by consistently meeting and exceeding expectations.
  • Organization -establishing courses of action to ensure that work is completed efficiently; proactively prioritizes assignments and keen ability to multi-task.

EDUCATION

  • High school education or GED required.
  • Associate' degree in Health Information Management preferred.

 

EXPERIENCE

  • Minimum one (1) year general office experience
  • Previous experience in HIM ROI required.
  • Previous experience with an ROI vendor strongly preferred.

 

 CERTIFICATE/LICENSE

  •  RHIT and/or CHP preferred
