Patient Contact: Patient Care: Code: A(for HR) Job Summary
Responsibilities include overall support to a Vice-President or Chairman as related to day-to-day operations of the department or office. Coordinates the administrative activities for the clinical, administrative, and academic department or departments for which the VP or Chair is responsible.
Duties and Responsibilities
(in order of importance and/or frequency)
1. Coordinates calendar and distributes updates to appropriate staff, if applicable to the positions.

2. Screens and directs phone calls and performs various secretarial functions, such as photocopying, faxing, mail management, correspondence and transcription.

3. Screens and prioritizes all incoming mail for needed action and follow up. Distributes mail requiring attention to appropriate individuals.

4. Schedules meetings, conference calls, phone interviews, etc.

5. Arranges travel and coordinates itineraries for local and national conferences and continuing education, as required.

6. Prepares and distributes minutes of meetings, agendas, correspondence, statistical reports, tables and other documents.

7. Serves as intermediary between supervisor and others by transmitting written and oral requests, messages and instructions.

8. Prepares and follows up on purchase orders, change orders, check requests and petty cash vouchers. Processes and follows up on tuition and other forms of reimbursement for assigned staff.

9. May assist with budgetary monitoring and maintaining records of expenses for variance reporting.

10. Performs other related duties

Minimum EducationPage 2 of 3
(HS/GED; specialized training; degree and discipline)
Bachelor's degree or equivalent combination of experience and education. i.e. HS/GED diploma plus seven years of experience.
Minimum Related Experience
(e.g. 1 year in research environment) 5 years of related administrative or business experience required.
